Assign User Permissions

Overview

A Permission Set is a collection of settings and permissions that give users access to various Accounting Seed tools and functions. It is essential that your organization’s Salesforce System Administrator understand and assign the appropriate Permission Sets based on each user’s job function.

As a best practice, we highly recommend using Permission Sets to establish the basis of security for your Accounting Seed users (additional security information can be found in the Security articles). If the initial Permission Set assigned to a particular user is not adequate, the user can be assigned a different Permission Set or an additional set. Permission Sets are additive.

All Accounting Seed users must have both a Salesforce license and a license for the Accounting Seed Financial Suite. Users who will be using the Orders & Inventory Suite will need a license for that, too.

Assign User Permissions

Quick Option: If you are only installing a demo, you need only use AS Full Admin.

Lightning Experience:

Click the Gear icon on the menu bar at the top of the page and click Setup.
Click the Administration drop-down menu, click the Users drop-down menu, and then scroll down and click Users.
On the All Users page, click a User’s name.
On the Selected Users page, scroll down to Permission Set Assignments and click the Edit Assignments button.
On the Permission Set Assignments page, add Permission Sets, and click Save.

Salesforce Classic:

Click Setup on the menu bar at the top of the page.
Click the Manage Users drop-down menu and then click Users.
On the All Users page, click a User’s name.
On the Setup Users page, scroll down to Permission Set Assignments and click the Edit Assignments button.
On the Permission Set Assignments page, add Permission Sets, and click Save.

Permission Sets

AS Apex Classes
Assign to users who use custom (non-Accounting Seed managed) permission sets that need access to Aura/LWC (Lightning Web-Components).

AS Full Admin
Assign to users who require access to all Accounting Seed data. This would typically be used for the primary accountant or CEO in an organization with a small number of Accounting Seed users. There is no restriction to the type of data this user can access.

Accounting Seed Financial Suite Administrator
This is an old permission set that was associated with a full Salesforce user. This should not be assigned to users.

AS View Only
Assign to users who require read-only access to the application. AS View Only is a good profile for those who only want to view financial reports and do not need to create or edit transactions.

Accounting Manager
Assign to users who require access to both Cash In and Cash Out functionality. This would be good for an Accounting Manager or Controller who needs total accounting access plus the ability to run financial statements and reconcile transactions at month end.

Cash In Accountant
Assign to users who only require access to Cash In related functionality. This would be good for a customer-facing invoicing person who needs to send out invoices, collect payment, and create/manage bank deposits, but doesn’t need access to any other accounting functions.

Cash In View Only
Assign to users who only require view-only access to Cash In records. This is often given to sales teams or project managers who need to see if a customer has paid their bill but do not need to do any accounting functions.

Cash Out and Banking
Assign to users who only require access to Cash Out related functionality. This is often given to a person who is responsible for paying vendors and, perhaps, doing bank or credit card reconciliations.

Delete Archived Source Records
Assign this permission set to users who require access to run the Delete Source Documents job once this feature has been enabled.

Important: This permission set should only be used in accordance with following the process in the Delete Archived Source Documents article.

Financial Suite Analytics
When using the Accounting Seed Financial Analytics app, assign this permission to users who require read access to object and fields that are used in Financial Analytics Dashboards.

GL Accountant
Assign this permission set to users who require access to Financial Reports, Consolidations, and General Ledger related functionality.

Project Manager
Assign to users who are responsible for managing projects. This user will have access to the Project and Project Task functionality with an eye to managing the costs of a project/event/job/grant.

Time and Expense Entry
Assign to users who need access to Time and Expense functionality. This allows users to enter Time Cards and Expense Reports in Accounting Seed without the distraction of other Accounting functions.

Orders & Inventory Permission Set (if installed)

Accounting Seed ERP Administrator
Assign to users who need access to Orders & Inventory. This allows users who have an Orders & Inventory license to access all functionality within that package. For more discrete roles within this functionality, you will want to set up your own permission sets.

GL Accountant - ERP
Assign this permission set to users who require access to GL and Reporting related functionality.

Field Service Lightning (FSL) Connector Permission Set (if installed)

Billing From Work Order
Assign to users who need to create and post Billings directly from Salesforce’s standard Work Order Object.

Sales Order From Work Order
Assign to users who need to create Sales Orders directly from Salesforce’s standard Work Order Object.

AS NPSP (Nonprofit Success Pack) Permission Set (if installed)

Accounting Seed NPSP
Add this permission set for users who will need to manage General Accounting Units (GAU) or GAU Allocations for Donation Opportunities, as well as schedule the NPSP Opportunity Journal Entries job.

Note: The Donation object is the standard Opportunity object renamed.
